ABOUT CEDAR RUN:
Cedar Run is a non-profit dedicated to the preservation of New Jersey’s wildlife and habitats through education, conservation, and rehabilitation. Woodford Cedar Run Wildlife Refuge sits on 171 wooded acres on the edge of the New Jersey Pinelands. Cedar Run includes the Woodford Nature Center, an outdoor Wildlife Housing Area with nearly 60 native residents, and a Wildlife Rehabilitation Hospital. The overall mission of Cedar Run is to serve as a community resource on the importance of protecting and enhancing healthy ecosystems for all. To that end, Cedar Run engages in ecologically based land management; the operation of a Federally and NJ State licensed hospital facility that cares for more than 6,000 injured, orphaned, or displaced native wildlife each year; the education of over 20,000 students annually through our various on-site and outreach programs; and serves as an active resource to the greater New Jersey community on all wildlife and habitat-related questions and issues.
POSITION DESCRIPTION:
Position Title: Development & Database Coordinator
Department: Development
Reports to: Director of Development & Communications
Status: Full-time position. 40 hours per week.
Purpose of Position:
The Development & Database Coordinator (D&DC) oversees the receipt and processing of all gifts, efficient acknowledgement of all gifts, donor database management, provides administrative support, and data quality control. The D&DC is also responsible for assisting with the planning, organizing, and execution of all of Cedar Run’s fundraising initiatives. The D&DC position requires meticulous attention to detail and demonstrated ability in the administration of donor database software. They play a key role in supporting organizational leadership with short and long-range strategic development plans to diversify the organization’s funding base and support its long-term goals, including annual gifts, major gifts, planned giving, and corporate and foundation solicitation.
Duties and Responsibilities:
- Implement all short and long-range strategic development plans with the Director of Development & Communications in order to diversify the organization’s funding base and support its long-term goals, including annual gifts, major gifts, planned giving, and corporate and foundation solicitation.
- Track and process all gifts.
- Oversee and maintain database records.
- Develop and maintain written standard operating procedures for all processes related to the database.
- Assist with the annual fund program, including mailings and annual fundraising drives.
- Enter donations into the database on a daily basis.
- Set up pledges and matching gifts on donor records in the database.
- Maintain accurate and current donor data that effectively track key information and cultivation/solicitation activities.
- Create and generate various reports as needed.
- Prepare and generate timely acknowledgment letters related to donations, pledges, bequests, matching gifts, special appeals, stock gifts, events, etc.
- Update the Director of Development & Communications and Executive Director with regular departmental progress and circulate progress reports on activity against targets e.g. growth projections, campaign effectiveness, response timescales for membership inquiries, etc.
- Lead all reconciliation processes with the bookkeeper, including credit card statement reconciliation.
- Work in tandem with the bookkeeper in preparation for and during the annual audit to ensure accurate and thorough reporting and reconciliation.
- Oversee the timely submission of invoices and bills to the bookkeeper.
- Prepare weekly bank deposits.
- Run weekly electronic deposit of checks.
- Ensure compliance with the Donor Privacy Policy and Payment Card Industry Data Security Standard (PCI DSS) requirements.
- Assist with the planning, organizing, and execution of all Cedar Run’s fundraising initiatives.
- Participate in all major fundraising events.
- Assist with the planning, organizing, and execution of all Cedar Run’s facility rentals.
- Continuously seek opportunities to enhance proficiency and implement current best practices in donor database management.
- Cross-train on responsibilities with the Nature Center & Membership Manager to ensure high-quality Nature Center guest experience and relations, and well-organized operations of all Nature Center activities.
- Participate in weekly development department meetings.
- Serve as Staff Liaison for the Finance Committee.
- Participate in monthly Fundraising Committee meetings.
- Perform various administrative tasks as necessary.
- Other duties as assigned. Evolving position in an evolving department.
Preferred Qualifications:
- A passion for Cedar Run’s mission to protect and preserve New Jersey’s wildlife and habitats through education, conservation and rehabilitation.
- Bachelor’s degree preferred.
- Enthusiastic personality with a positive outlook and a can-do attitude.
- Ability to work with minimal supervision – self-motivated & confident.
- Highly organized and detail-oriented, flexible, and collaborative with an ability to prioritize and manage multiple tasks simultaneously.
- Knowledge of Blackbaud Raiser’s Edge is a plus.
- Demonstrated ability in professional writing, communication, and interpersonal skills.
- Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
- Experience or demonstrated ability in the administration of donor database software.
- Experience in establishing donor database best practices.
- Knowledge of and ability to create development reports.
- Professional appearance and demeanor for both workplace and donor interactions.
- Organized, detail-and-deadline oriented with demonstrated ability to work in a dynamic, fast-paced environment, both independently and in a team.
- Weekend work will be required for special events and facility rentals.
SALARY & BENEFITS:
Salary starting in the high 30K’s, commensurate with experience.

• Eligible for Cedar Run’s health insurance plan; Cedar Run pays 60% of the employee’s premium. New qualifying employees will be eligible for coverage immediately.
